For weddings in Zambia

GuestTally

One list, every part of the day.

A ceremony, a reception luncheon and a family dinner are three different rooms with three different lists. GuestTally keeps them straight.

The problem

A wedding is not one event.

Everyone is welcome at the ceremony. Fewer are invited to the seated luncheon. Twelve people sit down to the family dinner. Each has its own venue, its own hour, its own number of chairs — and its own list of guests.

Couples track all of that across WhatsApp threads, phone calls and a spreadsheet, and end up unable to give the caterer a number they can defend. Then somebody has to stand at a door with a printed page and guess.

One household, three answers

Declining the lunch is not an edge case.

A household can accept the ceremony, say maybe to the luncheon and not be invited to the dinner at all. Three counts, moving independently, from one guest list.

Over capacity if every maybe comes

An illustration of one day, with the figures a coordinator would see. The third room is over capacity if every maybe comes, and says so.

How it works

Four steps, then the day itself.

  1. Build the list.

Households, not individual names — the way a couple actually thinks about who is coming. Add them one at a time, or paste a whole list out of your contacts and check it before it saves.

  2. Say who is invited to what.

Give each household seats at each part of the day. Zero seats means they are not invited to that part, and it will not appear on their invitation at all.

  3. Send one link each.

GuestTally writes each message and opens WhatsApp with the words already in place. You press send. It knows who has already been asked, so nobody is chased twice.

  4. Run the door.

On the day, whoever is on the door gets a link that only opens their part of the list. It keeps working when the signal drops, and syncs when it comes back.

Two people, two screens

The guest never sees the machinery.

The guest

An aunt on a phone, on patchy data.

  • One link on WhatsApp. No account, no password, no app to install.
  • They see only the parts they are invited to. The rest leaves no trace.
  • Three ways to answer, in plain words, and a box for the sentence that does not fit any of them.
  • They can change their answer any time before the deadline, on the same link.
Whoever is running it

One screen that holds the whole day.

  • Every household against every part of the day, on one screen.
  • Counts per part that move independently, and a warning before a room is over-filled.
  • Guest notes in front of you, not buried behind a click.
  • Real files for the caterer, the door and afterwards.
Vendors and venues

And everyone you still need to find.

Photographers, caterers, decor, venues, traditional attire, MCs and DJs, for the engagement, the chilanga mulilo and the wedding. Every listing is a real submission from the business, read by a person before it goes live.

Start with the ceremony.

Build the list, decide who is invited to what, and send the links. It is free while it is being built, and your guests never have to sign in to anything.
